Thank you for joining us this November for the return of the annual VeloSwap Bike Expo! In light of the challenges our industry has faced, it’s wonderful to see so many of you supporting this great community event. On behalf of Bicycle Colorado, we extend our sincere thanks for your participation.
As you prepare for the event in the coming weeks, here are a few reminders to help ensure a successful experience. If you have any questions, please don’t hesitate to reach out—we’re happy to assist!

National Western Complex

Friday, November 1 (Set-Up Day)
1:00 p.m. to 7:00 p.m. - Exhibitor Load-In
Vehicles are allowed inside the National Western Complex during this time.
Check-In: For load in on Friday, you will load in at Door #1 of the National Western Complex. To access Door #1, you will need to exit I-70 on Brighton Blvd, and follow Brighton Blvd to Gate #7 where you will turn left into the complex. Please see the attached map for a detailed overview. You will not be able to enter through any other entrance besides Door #1. You will check in at Door #1 to receive your Vendor Packet.
Click here for the Parking MapMoving Vehicles: During load in on Friday, you must quickly unload your vehicle, and exit the building to park in Parking Lot A. We will have a staff member on site to help monitor your materials if need be, but it is critical that you do not leave your vehicle unattended in the building after you unload. Moving your vehicle is mandatory to insure a smooth load-in process for all exhibitors.
Vendor Packet:Your vendor packet will include: 2 wristbands, a VeloSwap expo map, the vendor sales tax document and directions to your booth placement. Only vendors/exhibitors wearing wristbands will be allowed into the building.
Parking Passes are not included in the Vendor Packet, and can be purchased on site for $15.00 (cash only) from the National Western Complex for Saturday’s event. Please see below for more details.
New Vendor Happy Hour for Friday Setup
This year, we’re hosting a special happy hour from 4 PM to 7 PM for all vendors who set up on Friday. Enjoy light snacks and a complimentary beer as a thank you for joining us. It’s a great opportunity to reconnect with old friends and meet new ones!
Saturday, November 2 (Event Day)
7:00 a.m. to 9:00 a.m. - Exhibitor load-In
8:30 a.m.- Entrance Door #15 closes
Vendors must be set up by 9:00 a.m.
Doors OPEN at 9:00 am for Bicycle Colorado Members Only
10:00 a.m. - 4:00 p.m. - VeloSwap Expo
4:00 p.m. - 6:00 p.m. - Exhibitor strike and submit tax paperwork to Bicycle Colorado booth
Vehicles are only allowed in the Stadium Hall building on Saturday morning to drop off materials.
Check-In: For load in on Saturday, you will need to load in at Door #15 at the Stadium Hall building. The only way to access Door #15 is to take I-70 to Washington St, Exit 275. You will then head North on Washington St. Turn right onto 46th ave. Gate #5 will be on the left after the railroad tracks. You will check in at Door #15 to receive your packet.

Parking On-Site
Parking Passes: Upon arrival at the National Western Complex, you will purchase your $15.00 parking pass. Parking passes are available on site, CASH ONLY, for the cost of $15.00 per pass. Please be sure to bring cash to cover this cost. You will not be allowed to park on site on Saturday November 2, 2024 if you do not purchase a parking pass from the National Western Complex. Please see below for more information on parking.
Friday Vendor Parking: After unloading in the National Western Complex, Vendors will proceed to park in Lot A. After parking your vehicle in Lot A, you can return to your booth to set up. Please do not leave your vehicle in the National Western Complex after unloading. It must be moved out of the building to Lot A. If you have a trailer that you would like to park and leave overnight, you are welcome to park your trailer in the Trailer Parking zone labeled on the map attached. We will have security overnight that will be keeping an eye on the lot, but we are not responsible if anything gets lost or stolen.
Saturday Vendor Parking: After unloading in the Stadium Hall building through door #15, Vendors will proceed to park in the behind Stadium Hall Parking Lot. After parking your vehicle in the Lot, you can return to your booth to set up. Please do not leave your vehicle in the National Western Complex after unloading. It must be moved out of the building.

Door Prizes
If you'd like to contribute to our door prizes throughout the day, we would greatly appreciate any items you'd like to donate. Please click this link to fill out the form. You can either drop the items off at XX beforehand or bring them to the event and leave them at the DJ/Information booth.
Overnight Security
We will have security on-site overnight, but we are not responsible if anything is lost or stolen. We suggest you lower your tent and put all items under your tables and hold off on bringing valuable items until Saturday morning.
Bike Testing
For safety reasons, bike riding is not allowed inside the National Western Complex except in the specially designated “Bike Demo Area.” Please use discretion in allowing bikes to be tested, and remember that VeloSwap and the National Western Complex are not responsible for damage, theft, injury or other loss. All participants must sign a waiver on-site at the event.
Tax Requirement - DUE NOVEMBER 18TH
Colorado law requires all vendors to collect 8.81% sales tax on all sales made at VeloSwap. As a vendor, you are responsible for keeping track of your sales and collecting the 8.81% sales tax. A VeloSwap sales tax payment form is attached to this email for you to look over and will be included in your vendor packet to pick up during vendor load-in. Vendors will need to submit their taxes and paperwork to the Bicycle Colorado booth by the end of the day on Saturday.

No Show Policy
Any vendor spaces not occupied by 9:00 a.m. on Saturday will be considered “no shows” and will be made available for reservation to other walk-in vendors. No refunds will be given for unoccupied spaces. Open vendor spaces will be sold on a first-come, first-serve basis during setup hours, depending on availability.
Insurance and Terms
Certificate of Insurance Requirement for ONLY Business, Non Profits, Events, and Clubs
It is required that all exhibitors have and show proof of insurance. Please email proof of insurance no later than October 30th. Here are the details:

-Date: Friday November 1 - Saturday November 2
-Coverage amount: $1,000,000
-Limits for coverage: no limits for the event
