EXHIBITOR SETUP & TEARDOWN

FRIDAY, NOVEMBER 1

  • 1 p.m. to 7:00 p.m. – Vendor Set-Up 

    1. Parking Ticket: Upon arrival at the National Western Complex, you will have the option to purchase a $15 parking ticket that will be good for the entire weekend.

    2. Check-In & Vendor Packet: Vendors will check-in at the entrance through Gate 7 and Door 1 (please view our detailed map for Friday - coming soon). Your vendor packet will include: wristbands, a VeloSwap expo map, the vendor sales tax document and you will be directed to their booth placement. Only vendors/exhibitors wearing wristbands will be allowed into the building. 

    3. Set Up: Vehicles are allowed inside the National Western Complex during this time.

    4. Moving Vehicle: Once you have unloaded all items, we ask that you drive your vehicle outside of the Complex and into one of the following parking lots to assist with a smooth load-in process for all exhibitors: LOT A

SATURDAY, NOVEMBER 2

  • 7:00 a.m. to 9:00 a.m. – Vendor Check-In – Vendors must be set up by 9:00 a.m.

    1. Vehicles are only allowed in the Stadium Hall building on Saturday morning to drop off materials for a short time, you will NOT be allowed to drive into the exhibt hall.

    2. Access Stadium Hall from Gate 5, off I-70 to Washington St, Exit 275.You will then head North on Washington St. Turn right onto 46th ave. Gate #5 will be on the left after the railroad tracks. Our check in gate will close at 8:30 a.m.

    3. Parking Ticket: Upon arrival at the National Western Complex, you will purchase your $15 parking ticket. 

    4. Check-In & Vendor Packet: Vendors will check-in at Door #15. Your vendor packet will include: wristbands, 2 parking passes, a VeloSwap expo map, the vendor sales tax document and you will be directed to their booth placement. Only vendors/exhibitors wearing wristbands will be allowed into the building. 

    5. Unload & Set-up: Vendors will upload all items at exhibitor drop off (Door #15), drive their car to exhibitor parking and then move all inventory to designated booth placement.  All vendors on Saturday can park at the Coliseum parking lot. Click here for our detailed parking maps. 

  • 9:00 a.m. – Swappers Corner vendors set up – NO LATER

    1. Enter through Door #15 on the west side of the expo hall.

  • 4:00 p.m. to 6:00 p.m. – Teardown and Load Out: no sooner than 4:00 p.m. Saturday.

    1. Once VeloSwap guests have safely exited the building, we will allow vehicles to re-enter the building through Door #1 for teardown and load-out.

    2. Submit Taxes & Paperwork to Bicycle Colorado booth

VEHICLES

Vehicles will be allowed inside the building for load-in on FRIDAY ONLY. Follow signs and National Western staff directions. Vehicles driving into the building on Friday will form a queue on the National Western property north of the VeloSwap expo building. At 1:00 p.m. we will open Door #1 on the north side of the building to allow vehicles to drive up the ramp and into the building and begin check in. After check in, exhibitors may proceed into the building for load-in and booth setup.

NO-SHOW POLICY

Any vendor spaces not occupied by 8 a.m. on Saturday will be considered “no shows” and will be made available for reservation to other walk-in vendors. No refunds will be given for unoccupied spaces. Open vendor spaces will be sold on a first-come, first-serve basis during setup hours, depending on availability.

VENDOR/EXHIBITOR WRISTBANDS

Wristbands will be distributed to all vendors and exhibitors during check in. Wristbands are your only pass to VeloSwap and must be worn at all times during setup, during VeloSwap, and during teardown. If you remove or lose your wristband overnight or at any time, you must purchase a new wristband for $15 or leave VeloSwap. NO EXCEPTIONS.

All booths receive two wristbands per 10′ x 10′ space.

Additional wristbands may be purchased for $15 each at vendor/exhibitor check-in.

SALES TAX

Colorado law requires all vendors to collect 8.81% sales tax on all sales made at VeloSwap. As a vendor, you are responsible for keeping track of your sales and collecting the 8.81% sales tax. The organizers of VeloSwap are required by law to provide the Colorado Department of Revenue and the City and County of Denver with names and addresses of all vendors selling merchandise. If you do not pay under Bicycle Colorado’s tax license, the State assumes you will apply for a special events license on your own.

You may pay your tax under VeloSwap’s special sales event tax license. A VeloSwap sales tax payment form is enclosed in this packet. Forms are also available at vendor check-in. Complete the form and attach a check payable to “Bicycle Colorado” for the appropriate tax amount. Drop off the form and your check at vendor check-in at the end of the day. We will forward all payments to the Colorado Department of Revenue and the City and County of Denver.

SECURITY

The National Western building will be locked overnight and armed security will be on site at all times. The organizers of VeloSwap are not responsible for the security of property at any time.

BIKE TESTING

For safety reasons, bike riding is not allowed inside the National Western Complex except in the specially designated “Bike Test Area.” Please use discretion in allowing bikes to be tested, and remember that VeloSwap and the National Western Complex are not responsible for damage, theft, injury or other loss. All participants must sign a waiver on-site at the event.
